For DME suppliers, ATPs & referring providers
Wheelchair Clinic coordinates specialized PT/OT mobility evaluations with DME suppliers and assistive technology professionals. The referral process below reflects the current workflow while our new EMR is under development.
1 — Send referral documentation
Preferred: documents@wc-clinic.com. Include the patient facesheet, insurance details, diagnosis codes, PT/OT evaluation and fitting prescription (at least six months’ length of need as specified in our process sheet), available progress notes, scheduling contact, and the ATP who will attend.
2 — Benefits verification
Once the referral is received, our team records the information and verifies insurance benefits. This typically takes 3–4 business days. Our team contacts the designated scheduling contact when ready.
3 — Coordinate appointment
We email a therapist's online calendar link. After choosing the appointment, reply all to the scheduling email with the patient's name and chosen date/time. For telehealth appointments, send the remote meeting link as well.
4 — Evaluation and documentation
Following the evaluation, the therapist prepares an individualized clinical report. Turnaround varies with case complexity and the availability of required information from the ATP and other care partners. We work to return completed documentation promptly once all necessary details are received. For payer requests or denials, forward the insurer’s letter to documents@wc-clinic.com so the evaluating therapist can address the request as appropriate.
Patient-specific documentation: Clinical reports are authored by the evaluating therapist based on each patient's individual assessment. We do not use generative AI to draft clinical evaluation reports.
